What is a Sales Order?

A sales order is an internal and external confirmation document created after a buyer accepts a quote or places an order. It signals to the warehouse or fulfillment team that goods should be picked, packed, and shipped. It is NOT a bill — that comes later with an invoice.

How to use the Sales Order Generator

    🏢 Enter seller and customer details

    Fill in both the "From" (your business) and "Bill To / Ship To" (customer) sections including delivery addresses.

    📋 Set order details

    Assign an SO number (auto-generated), set the order date, and set the expected "Ship Date" to communicate fulfillment timing.

    📦 Add products being ordered

    List each SKU or product with quantity, unit of measure (pcs, kg, boxes), and agreed-upon price. The order total updates automatically.

    🔄 Set fulfillment status per item

    Use the Status dropdown per line item to mark items as Pending, Shipped, or Delivered. Colour-coded badges appear on the PDF.

    ⚑ Flag backordered items

    Tick the Backorder checkbox for items you cannot fulfill immediately. A "Backorder" badge appears on the PDF to communicate this to the buyer.

    📄 Download and share the PDF

    Download the formatted PDF to share with your customer as order confirmation, or hand it to your warehouse for picking.

Field Reference

Ship Date The expected or actual shipping date. This helps the buyer plan for receiving the goods.
Unit of Measure Select the appropriate unit for each line item — pcs, kg, hrs, boxes, sqm, etc. This is critical for bulk or variable-weight products.
Status Tracks fulfillment state per item: Pending (orange), Shipped (blue), Delivered (green). Shown as colour-coded text in the PDF.
Backorder Flag items you cannot fulfill immediately. Displays a "⚑ Backorder" badge on the PDF so the buyer knows what to expect.
