What is a Quote?

A quote (also called a quotation or estimate) is a document sent to a prospective customer before a sale, showing the proposed prices for goods or services. Unlike an invoice, a quote is not a demand for payment — it's an offer that the client can accept or decline.

How to use the Quote Generator

    🏢 Enter your business details

    Fill in your company name, email, and address and add your logo. This builds trust with potential clients right away.

    👤 Add the prospect

    Enter the client you are quoting. Their name and address will appear in the "Bill To" section on the PDF.

  3. 3

    📅 Set validity date and revision

    Use "Valid Until" to set when the quote expires — this creates urgency. Use the revision counter to track quote versions (Rev 1, Rev 2...).

    ➕ Add your services or products

    Enter each item with quantity and rate. Mark items as "Optional" using the checkbox — optional items are dimmed on the PDF and excluded from the total, but shown to the client as add-ons.

    ✅ Convert to Invoice when accepted

    Once the client accepts, click the "Convert to Invoice" button in the sidebar to copy all data to a new Draft Invoice with an auto-incremented number.

Field Reference

Valid Until The expiry date of your quote. After this date, prices may change. A countdown badge appears on the document showing how many days remain.
Revision Tracks how many times the quote has been updated. Helpful when a client requests changes — bump to Rev 2, Rev 3, etc.
Optional items Tick the "Optional" checkbox on a line item to mark it as an optional add-on. It appears on the PDF but is excluded from the main total. Ideal for upsells or phase 2 scope items.
